When we say “member”, we are referring to an individual who has purchased an individual club membership. KCKC collects, uses, and discloses Personal Information for the following purposes:

All Members
When you join KCKC as a member we collect first and last name, address, phone number and email address. Your email address will be used for account generation, and it will also be used to contact you for the purposes of KCKC events, and for verifying your identity when contacting you about membership issues. When you join KCKC you will be required to acknowledge that you have read, understood and agree to comply with the KCKC Waiver and this Website Privacy Policy, and as it may be amended from time to time, for as long as you continue to use our website. If you do not agree with the KCKC Waiver or this Website Privacy Policy, do not sign up for an account or join our Club.
KCKC Events
When you register for an event hosted by our club, we may collect information such as your first and last name, address, contact information, and email address and if necessary emergency contact information. Participatory members must sign a waiver on our website. You will be required to complete our online waiver once each calendar year. There is a separate waiver for an individual under 18 years of age. We require a parent/guardian to complete the information and provide consent for collection of information on behalf of the minor.

Membership information
If you become a member of KCKC, you must provide certain information which is added to our internal membership database. The information contained in the database can only be used for operational purposes pertaining to our club, such as KCKC Executive election information and other correspondence. The KCKC does not sell membership lists to anyone and does not disclose your Personal Information for any purpose that is not set out in this Website Privacy Policy.
The information maintained in the database includes:

● Your subscription history;
● The date the member registered on our site;
When members purchase a membership, we only request the information needed to complete the processing of a membership, which includes your name, address, telephone number.

The Personal Information that you post or share in connection with these third party sites is visible to other persons and can be read, collected, used and disclosed by other persons. This information may be outside the control of the KCKC.
Retention of information
The Club will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. Members can cancel their membership subscriptions at any time. If you wish for the KCKC to erase your membership subscription history or any of your information removed from our database please contact our Webmaster at kckcwebmaster@gmail.com . For members who have joined and remain members at our Annual General Meeting, in accordance with our legal obligations you will still receive a notice to vote.
Consent
The KCKC requests permission through an online form (i.e. Membership form, waiver) to collect and use Personal Information. By completing the membership application and making payment, consent to store the information collected is assumed.
Accuracy
KCKC relies on the member to supply accurate Personal Information.
Our Member ‘My Details’ page has a link to ‘My Profile’ on our website to change Personal Information. Contact our Webmaster if you are having any problems.
Safeguards
Our website is protected and hosted on a secure server. Limited copies of personal information back-ups are stored and password protected. The security of Your Personal Data is important to us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While KCKC strives to use commercially acceptable means to protect Your Personal Data, we cannot guarantee its absolute security.
